If you are an AdFed member, you can apply to join or form a committee.
MEMBERSHIP COMMITTEE
This committee is by far the most important. We rely heavily on new and continuous
memberships to the club. The membership fees go towards generating monthly programs,
the Black Hills Ad Awards and Silver Medal Event, special events, student scholarships
and sending representatives to our District and National Conferences. This year
we are creating a New Membership Kit (which are put together by this committee and
sent out containing info about our club and how to get involved).
Personal contact with current members and perspective members through letters, thank
you notes and phone calls is necessary to increase membership. The committee will
make follow up calls to members that have shown interest, and invite them to luncheons,
and introducing what we have to offer as a club. The committee members will take
new members ‘under their wing’ to encourage networking and show them the ropes.
The committee will send out thank you letters to companies who’ve allowed their
employees to participate in BHAF. This committee will also be responsible for creating
an up-to-date membership directory. And most of all, have fun recruiting and retaining
our members!
PUBLICITY COMMITTEE
This committee is responsible for the design of our monthly eNewsletter along with
press releases to promote BHAF programs and events. Developing the eNewsletter and
press releases includes formatting, writing and editing, along with coordinating
with other committee members to assure all happenings are being promoted. The newsletter
will include all contact info for BHAF along with each executive board member. A
list of newsletter deadlines will be provided by the committee each year and are
expected to follow that guideline. Press releases are a big part of communicating
BHAF events and should be done for the following: Monthly Meetings, Media Auction,
Education Scholarship Winner, New Board of Directors, Public Service Campaign, Special
Events or Workshops, Black Hills Ad Awards and Silver Medal Event and ADDY’s. You’re
allowed to be creative and have fun while doing it!
PUBLIC SERVICE COMMITTEE
The recipient will help determine the goal of the campaign. This committee develops
an entire campaign for a non-profit organization including, but not limited to:
logo, letterhead, envelope, business card, brochure, radio PSA, television PSA,
billboards and other materials as needed. Before developing the campaign, a non-profit
organization must be chosen through a selection process as determined by the committee.
The call for entries usually starts first of July and ends the last day of the month.
The selection must be made and announced at the first program in September. Typically
the campaign will kick-off in the 1st Quarter of the following year.
This campaign is a great way to show the talents of BHAF and support our community.
This campaign will also promote BHAF by using our logo in all the materials. During
the application review process, this committee needs to keep in mind that we are
looking for a non-profit that will benefit the most from our services. We are also
looking for one that will have a budget to continue our campaign after we are done
working with them, this should be noted in the press release.
In developing this campaign, the committee will work closely with the non-profit
organization to ensure that they have the opportunity to review the designs and
concepts. Final approval of all campaign materials is needed by the non-profit before
launching the campaign. As part of the campaign, the various media need to be contacted
to get a sense for their commitment to the campaign. In the past, we have had great
support from the media. Proper documentation is crucial. The committee is asked
to prepare a binder or presentation of all contact names, disks with graphics, print
materials, tv commercials, radio commercials and all other important info to the
non-profit organization so they can continue with the campaign as needed. The committee
must provide BHAF Executive Director a copy of the binder for future Public Service
committee members. A testimonial from the non-profit organization is always great
to keep on file as well. This is a fun and rewarding committee to be on!
PROGRAMS & SPONSORSHIP COMMITTEE
This committee is responsible for planning programs and gathering sponsors for the
programs. This committee is responsible for obtaining information from the speaker
and providing it to the Publicity committee for the eNewsletter and press release.
This info includes a bio, photo and brief description about the program being presented.
The program committee also needs to identify the audio-visual equipment needs for
the speaker and make sure that these arrangements are made prior to the program
with the Executive Director of BHAF. If feasible, this committee should also make
arrangements to provide a tour of the Black Hills for the speaker if time permits.
Typically, BHAF will offer to pay for the travel expenses for the speaker. This
usually includes mileage if driving and airfare if flying. BHAF will also pay for
hotel expenses. The Executive Director usually makes the travel arrangements for
the speaker, once the commitment to speak has been confirmed.
The sponsorship committee is responsible for securing sponsors for our programs
to help cover costs of the speaker. A sponsorship package has been developed and
can be presented to prospective sponsors. Sponsors will receive a number of opportunities
during our program to network and present to the membership. This committee is a
perfect fit for that outgoing, smooth salesperson or someone with lots of connections!
SPECIAL EVENTS/PROJECTS COMMITTEE
This committee is responsible for coming up with special events that we can hold
outside of our regular monthly programs that will benefit the membership and the
club. Fundraising events, evening entertainment, mini-golf tourney, wine-tasting
event are just a few ideas. This committee will be in charge of the Non-Profit Seminar
and Small Business Seminar we would like to hold every other year or every two years.
These seminars will focus on awareness and knowledge of the advertising world; how
to utilize different media, how you can promote an event with little or no money,
strategies, tips and tricks for advertising and marketing. Let your creative juices
flow!
BLACK HILLS ADVERTISING AWARDS & SILVER MEDAL BANQUET COMMITTEE
Our biggest event of the year! This event takes place the 2nd Thursday in May. This
committee coordinates all aspects of this event; call for entries, collect entries,
design invitations, tickets, layout for the banquet, order awards and any other
necessities for the event. The committee will work with the sponsorship committee
to reserve sponsors. The entire board is expected to participate and help setup
or assist in any way possible.
The second part of this committee is the Silver Medal Award winner. The committee
will work with the publicity committee to advertise a call for nominations. Once
a recipient is chosen, the committee will put together a video highlighting achievements,
friends, etc. for presentation at the banquet. This committee will also order the
award plaque and medal for the winner. The committee will work with the publicity
committee to announce the winner through media as well as develop and place a PSA
for the event. The committee must submit the Silver Medal Award winner to the AAF
for recognition at the National Conference. A binder of information is kept on hand
from year to year to help organize the event.
MEDIA & MERCHANDISE AUCTION COMMITTEE
This is our biggest and most important fundraiser of the year. Media and merchandise
are solicited from local businesses and put up on our website for an online auction.
Donations are collected in October. The auction lasts for 2 weeks in November. This
is a great opportunity for businesses and non-profits to take advantage of rock
bottom prices to help with their marketing campaigns for the upcoming year. The
public is also welcome to bid on the media and merchandise.
For the first time ever, winners will be able to pay online! This will speed up
the efficiency of the auction. The committee is responsible for marketing the event
and coordinating with the publicity committee to get the word out. The committee
is encouraged to meet with potential businesses/organizations about the auction
and create buzz throughout the Black Hills. The entire Board of Directors will chair
the committee and recruit members from the club to help with the event. Create buzz,
and BHAF will benefit greatly!
